Overview
A transcript is only the beginning
A client call can contain a key concern, an approval, and several open questions. If the team only remembers the highlights, the project may drift before the next meeting. Otter.ai provides transcription and AI meeting summaries that can help preserve the conversation. We use it to support a clear follow-up process, with participants aware of the recording and a person responsible for checking the result.
The aim is not a larger archive of calls. It is a dependable record of what was decided, what still needs an answer, and who owns the next step.
What We Do With it
Meeting capture and handoff
We can design a workflow for agendas, notes, summaries, action items, and the place where final decisions are stored. We connect the meeting output to the project system so tasks are assigned and open questions remain visible. We also distinguish a participant's comment from a confirmed commitment, checking the transcript before the team treats either as a fact. A brief, useful recap should make it easier to continue the work.
How We Use It
Test the follow-through
We run the process on a representative meeting and compare the generated summary with the actual conversation. We correct names, decisions, and dates, then send the next actions to the people responsible. At the following check-in, we ask whether the record helped them move without reconstructing the call.
A good meeting workflow makes time together more valuable after everyone leaves. Otter helps capture the material; the team turns it into accountable work.
